Getting support — who to contact and when

If you have a concern about a client, a question about a referral, or something you're unsure about clinically, the first and most important step is always to contact your clinical supervisor in line with your professional body's code of conduct. Supervision is your primary safeguard — please don't wait if something feels urgent.

Where you also need support from the MTO team, we're here to help. Lisa Johnston is our lead clinical contact, and Mary Ion and Sarah Kenny are also on hand where they can be. The best way to reach us is:

Best Practice for client referrals

At My Therapist Online, we’re proud to be a small business run by therapists, and we work differently from many other services. Unlike platforms that charge therapists simply to be listed, we only take a fee once therapy has successfully started. This means we put an enormous amount of effort into getting clients to you,  investing in marketing, paid advertising, and building multiple referral avenues, so that you can focus on the work you do best.

Because of this, it’s really important that clients are given the best chance to engage once they’re matched with you. To support this, we’d like to remind everyone of some simple best practice steps. These make the process smoother for both you and the client, while also ensuring that all the energy and resources invested into generating referrals aren’t lost.

Best Practice steps for client referrals

  • Offer suggested appointment times in your first email. This gives clients a clear and easy next step.

  • If you haven’t heard back within 3–5 days, please let us know straight away. Emails are often missed or end up in junk folders, and we can step in to follow up.

  • Keep us updated early if communication has stalled. The sooner we know, the sooner we can support both you and the client in reconnecting.

  • Avoid long gaps (weeks or more) without an update, as this greatly increases the risk of the client disengaging altogether.

By following these steps, we can work together to make sure clients feel supported at every stage, while also helping you maintain a steady flow of referrals.
